In part one of this post, we talked about the features we use in lynes  to make everyday work easier.

In this one, we’ll dive deeper to explore how lynes serves as the central hub for everything we do — the strategies behind it and what truly works for us.

Hopefully, this will inspire you to try a new way of working or at least give you a few useful tips for improving communication in your company.

And if not, you’ll at least finish this post knowing that you don’t need help from a middle-aged man who’s a self-proclaimed multiple-time champion of internal communication.

Internal Communication Is Everything

Internal communication isn’t always smooth sailing.

Before we had a clear strategy, everything felt a bit fuzzy — which, thankfully, it doesn’t anymore.

Some people would send proper meeting invites with agendas, while others just sent one titled “Meeting.”

Needless to say, that didn’t work.

Once we set clear expectations for how our internal communication should function, stress levels dropped and frustration disappeared.

We discussed questions like:

  • Why do we use presence statuses?
  • How do we structure chats and threads?
  • When and how do we book meetings?
  • What’s the purpose of our meetings?
  • How can they become more effective?

How We Communicate in lynes

If you know me by now, you know I love structure and order.

Ever since becoming a parent, I can’t say “order and structure” without mentally adding “money by Friday.”

Anyway — order and structure matter, especially in communication strategies.

Here’s how we communicate in lynes today:

  • Primarily: Asynchronous communication (everything that doesn’t happen in real time)
  • Secondarily: Synchronous communication (everything that does happen in real time)

We’ve noticed that asynchronous communication helps us tremendously.

No one feels pressured to respond within half a second, and our discussions become more thoughtful — and our answers more thorough.

Some of the most common conversations we have asynchronously include:

  • Weekly and monthly updates
  • Discussions about campaigns, development, and forecasts
  • Project planning, sprints, and roadmaps
  • Company news and announcements

But of course, not everything can happen calmly and asynchronously.

That’s why we also have a strategy for when and how to communicate synchronously — something we use sparingly, since it tends to be faster-paced and more stressful.

We use synchronous communication for:

  • Challenging discussions or direct feedback
  • “When shit hits the fan” situations
  • General everyday chatter

Building a Digital-First Culture

The foundation for any company (that has the option) should be a digital-first or hybrid-first strategy.

As digital pioneers, we’re no exception.

Our goal is to maintain a high-performing team — no matter where they work.

In a digital world, the collective effort matters more than ever.

How We Build a Successful Remote Team

We’ve learned that trust builds success, and trust is built through connection.

Here’s how we strengthen that connection:

  • A private channel for each team
  • Dedicated channels for each office location
  • Digital hangouts
  • Celebrating achievements — big and small
  • Regular check-ins and follow-ups with each team

All of this has helped us strengthen collaboration both within lynes and across the entire workplace.

Smooth Project Management in lynes

If, like us, you manage several projects at once, it’s crucial to gather, automate, and streamline as much as possible.

We’ve refined our approach over time, and today our project management in lynes looks like this:

  • Dedicated project channels
  • Clear expectations and guidelines
  • Centralized documentation in each channel

Working this way makes it easy to juggle multiple projects — without losing focus.

Structured Chats and Channels

To wrap things up, let’s talk about one last (but essential) point: structured chats and channels.

This is something we apply alongside all the other strategies mentioned above.

The benefit of having a clear internal and external structure is that it drastically reduces email clutter.

When we launched lynes, we started from scratch — tested, tweaked, and eventually landed on a structure that worked across all departments.

Here’s what we’ve learned:

  • Stick to the structure once you’ve found it
  • Use dedicated channels to minimize noise
  • Always use threaded conversations for messages and files
  • Write clear, well-formulated messages that add context and value
